Job Summary:
We’re seeking a meticulous and organized Legal Data Entry Assistant with a focus on intellectual property (IP). In this role, you will assist our IP legal team by entering and maintaining accurate records of trademarks, patents, and copyrights across multiple jurisdictions. Your attention to detail will support the timely management of application deadlines, renewal schedules, and international filings critical to protecting our clients’ IP assets.
Key Responsibilities:
Input and update IP records into docketing and case management systems
Log filing dates, publication dates, office actions, and renewal deadlines
Maintain accurate ownership, jurisdiction, and classification data
Cross-reference patent and trademark applications with legal correspondence
Track status of pending applications and opposition proceedings
Generate reports on filing history and portfolio summaries for legal teams
Ensure data integrity and compliance with jurisdictional filing requirements
Required Data Fields:
IP type (Patent / Trademark / Copyright)
Applicant or owner name
Application or registration number
Filing and issue dates
Jurisdiction (USPTO, WIPO, EPO, etc.)
Classification (e.g., NICE Class for trademarks, CPC for patents)
Renewal or expiration dates
Legal status (pending, registered, abandoned, etc.)
Corresponding case/matter ID
Notes on office actions or legal disputes
Qualifications:
Experience in legal data entry, especially within IP law, preferred
Familiarity with IP management systems (e.g., CPI, Anaqua, or Foundation IP)
Ability to handle sensitive legal data with confidentiality and accuracy
Strong organizational and multitasking skills
Understanding of IP terminology and international filing procedures
