Job Summary:
Our legal billing team is expanding, and we’re hiring a detail-oriented Legal Data Entry Assistant to support accurate and timely entry of billing data in our practice management system. In this role, you will help ensure precise client invoicing and attorney compensation tracking. You’ll work directly with billing administrators and legal assistants to process large volumes of time entries, expense reports, and payment statuses across multiple client matters.
Key Responsibilities:
Enter billable hours, disbursement charges, and attorney activity into the billing system
Review and verify time entries for accuracy and compliance with client billing guidelines
Update client profiles with matter IDs, billing contacts, and retainer balances
Track invoicing cycles, payment due dates, and late fee entries
Coordinate with attorneys and finance staff to correct discrepancies
Maintain confidentiality of client financial data and firm records
Required Data Fields:
Client name and matter number
Attorney name and initials
Time entry descriptions and billable hours
Date of service
Billing rate and calculated fees
Disbursement and expense categories
Invoice number and issue date
Payment status and remittance notes
Internal adjustment records (write-offs, discounts, corrections)
Qualifications:
Previous experience in legal billing or administrative support preferred
Knowledge of billing platforms (e.g., Timeslips, Elite, Clio, or Aderant)
High accuracy in data entry and familiarity with legal billing guidelines
Strong organizational skills and ability to work under tight deadlines
Professional discretion with sensitive client and financial data
